CLERICAL OFFICER RECRUITMENT

The Association of Community and Comprehensive Schools (ACCS) is looking to recruit a Clerical Officer.

This is a full-time temporary position based at the ACCS’ Head Office at 10H Centrepoint Business Park, Oak Drive, Dublin 12.

THE ORGANISATION

The Association of Community & Comprehensive Schools (ACCS) is the professional management body which supports, advises, and represents community & comprehensive schools on all matters relating to school management.

THE ROLE

The Clerical Officer will play an important role in providing reception duties and administrative support to the management team at ACCS Head Office.

The Clerical Officer will have the following responsibilities:

  • Act as the first point of contact for ACCS - answer the main telephone line and ensure that all calls are logged and directed to the appropriate person.

  • Meet and greet visitors to ACCS Head Office.

  • Update and maintain the Customer Relationship Management (CRM) database.

  • Assist with the organisation and preparation for in-house meetings, including the ordering of refreshments and post meeting tidy up.

  • Deal with email and other communications involving ACCS business. Log and file the incoming and outgoing mail, email, and other communications.

  • Assist in the preparation of information for dissemination to schools, (Information Bulletins, notices of Continuous Professional Development events, registration links, reminders, follow-up emails) and other communications on behalf of the management team.

  • Support colleagues in relation to preparation for events, attend events and assist with registration, exhibitors, and other duties as required.

  • Assist the team in the preparation of information for dissemination to sub-committee and forum members (agendas, registration links, reminders, follow-up emails) and other communications on behalf of the Secretariat.

  • Keep accurate records and file documents as required.

  • Manage stock levels and quantities of stationary, office supplies, office equipment and utilities for ACCS Head Office. Liaise with suppliers.

  • Any other duties or projects as determined by the Senior Administrator or General Secretary.

 

THE PERSON

Knowledge, Skills, and Experience required for the role:

  • Recent relevant experience (1-3 years minimum) in an administrative/secretarial capacity.

  • Excellent IT skills, including Microsoft Office Suite.

  • Strong attention to detail and accuracy.

  • Strong communication (both written and verbal) and interpersonal skills are essential as the person appointed will be the first point of contact for ACCS and will be communicating with a diverse range of individuals and stakeholders.

  • Proficiency in both written and spoken English.

  • Ability to work effectively within a team environment.

  • Ability to meet deadlines and prioritise effectively.

  • Flexibility in the role and a positive work attitude with a willingness to adapt to changing tasks.

  • Attend and assist with ACCS events outside of office hours on occasion.

Reporting Relationship:

The successful candidate will report to Senior Administrator.

Hours of Work:

The normal working week will be Monday to Friday with normal working hours from 9.00 a.m. to 5.00 p.m., but flexibility may be required from time to time.

The ACCS office is accessible via public transport but more conveniently by car.  

Salary:

The salary will be aligned to the Clerical Officer Grade III salary scale (education sector) €27,895 - €44,861 (inclusive of one long service increment) for a 35-hour working week, and the starting point will be commensurate with experience.
